If you are one of those who are asking themselves “how to use QuickBooks on multiple computers at the same time, and work on them together?”, then we have got you covered. In this blog, we will provide you with stepwise instructions as to how to install QuickBooks on a new computer, and link it with QuickBooks installed in the main system.

Steps on How to Use QuickBooks on Multiple Computers at the Same Time

Step 1 -

*On a multi-user network, one computer acts as the host of company files. This host computer is the server. Other systems that are connected to the network that doesn't host your company files are termed as workstations.

  • Choose the “Custom and Network install” for the install type, and then select “I'll be using QuickBooks Desktop on this computer, AND I'll be storing…” if you want the full version of QuickBooks Desktop on your server computer. If you just want the server computer to host your files, then all you need to do is select “I will NOT be using QuickBooks Desktop on this computer”;
  • Follow the instructions and finish the installation.

It is recommended that you keep a backup of your company files on your server computer's local hard drive. This makes it easier for you to share them over your network;

Step 2 -

Now you need to set the folder permissions, and make sure that your company files have the permission to be on your network;

Step 3 -

Now you need to install the QuickBooks Database Server Manager tool on the server computer, this lets you share your company files with other computers over your network;

Step 4 -

In the next step, you need to ensure that your server computer has Windows admin rights, and the Windows user account for Database Server Manager has admin rights. You should also scan the folder that holds your company files with the Database Server Manager tool.

Step 5 -

Now all that is left is setting up the Multi-user Access on your server computer, and it should be the only computer with this feature on. To do it, you need to:

  • Open QuickBooks Desktop and go to the File menu and hover over Utilities; and
  • Select Host Multi-User Access. Then select Yes to confirm.

With all this done, you are now ready to access and work on your multi-user network. Just proceed with the good old “sign-in” as a “user with admin rights” on your server computer and workstations.
